AI-powered scheduling for airlines that ensures pilots and crew stay rested, alert, and safe.

Overview

WingWise is a web app designed for airlines to keep track of pilot and crew sleep, schedules, and fatigue. It ensures crew members are well-rested and ready for their shifts, focusing on safety and performance. With AI-powered scheduling and wellness tools, WingWise helps airlines keep their crew alert and safe, reducing fatigue risks and improving flight safety and operations.

I led this project as the sole/primary designer, driving end-to-end design execution—from research and wireframing to prototyping and final delivery. My work shaped the vision, strategy, and final user experience.

Problem

The aviation industry has grown by 30% in the last decade, but with this growth, safety concerns have also risen. Studies show that 80% of plane crashes are linked to pilot fatigue [source↗]. Current airline tools fail to provide real-time visibility into rest, communicate actionable insights, and support efficient scheduling—creating safety risks and operational inefficiencies.

Challenge:
How might we design a solution that proactively detects fatigue risks, supports crew members, and enables managers to schedule efficiently without compromising safety?

Making Safety Actionable

We translated complex safety rules (FDTL) and fatigue research into clear, intuitive tools.

Fatigue Risk Indicator (Pilots & Crew)

Data Source: Sleep quality + hours (via smartwatch)

Color-coded gauge:

  • 🟢 Green (Low Risk, 25%) → Prompt: “Good”

  • 🟨 Yellow (Moderate Risk, 50%) → Prompt: “Alert” + wellness tips

  • 🛑 Red (High Risk, 75%) → Prompt: “High Risk” + notification sent to manager to adjust schedule

  • Outcome → Crew understood their fatigue status instantly

FDTL Compliance Dashboard (Managers)
  • Tracks Flight Duty Hours (FDH)Rest Periods (RP), and cumulative duty limits

  • Alerts when crew nears/exceeds regulations

  • Includes analysis of crew availability, qualifications, and fatigue levels

  • Outcome → Managers could safely reschedule in minutes, not hours

This research ensured that alerts and recommendations were based on real, actionable data, making safety decisions fast and reliable.

Research & Insights

Domain Familiarization: 

Since our team was new to aviation, I prioritized learning industry workflows, terminology, and safety protocols to ensure the product felt intuitive. Key terms included Crew Roster, Duty Period, Crew Insights, and High Fatigue Alerts, FDTL (Flight Duty Time Limitations).

Personas (3 key groups):

  • Pilot → Needs clarity on rest, upcoming duties, and compliance.

  • Crew Member → Wants transparent schedules and rest balance.

  • Manager → Needs visibility into crew readiness and fatigue risk.

Feature Prioritization:

Using the MoSCoW method, I defined core features for pilots and managers and identified secondary “nice-to-have” features.

Approach & Design Process

1. Research & Domain Familiarization

Learned aviation workflows, safety protocols, and terminology (Crew Roster, Duty Period, Fatigue Alerts, FDTL).
Mapped 3 key personas:

  • 👩🏻‍✈️ Pilot → Needs clarity on rest, upcoming duties, and compliance.

  • 👨🏽‍💼 Crew → Wants transparent schedules and rest balance.

  • 👩🏻‍💼 Manager → Needs visibility into crew readiness and fatigue risk.

Using the MoSCoW method, I defined core features for pilots and managers and identified secondary “nice-to-have” features.

2. User Flows & Wireframes

Mapped detailed flows for pilots, crew, and managers.
Low-fidelity wireframes established hierarchy and navigation before investing in high-fidelity design.

3.Usability Testing & Validation

  • 5 participants → refined workflows & navigation

  • 2 real pilots → validated fatigue alerts & compliance workflows

  • Outcome → Hidden pain points surfaced early, ensuring safety-critical clarity

Testing with real pilots provided invaluable insights beyond assumptions, allowing me to identify hidden pain points and validate critical workflows. This ensured that the final design was not only user-friendly but also aligned with real operational needs and safety requirements.

4. Branding & Design System

I took full ownership of branding and UI consistency:

  • Logo: Minimal yet symbolic, with multiple variants for flexible use.

  • Typography: Selected Noto Sans and DM Sans → clean, modern, and supporting 100+ languages (critical for aviation).

  • Colors: Applied color psychology + ensured WCAG AA accessibility compliance.

  • Design System: Built detailed components (inputs, checkboxes, snack bars, navigation, empty states, hover states). Established spacing, layout, and visual hierarchy standards for scalability.

5. High-Fidelity Prototypes

  • Built pixel-perfect mockups with micro-interactions

  • Developed interactive prototype in Framer to simulate end-to-end use

Final Design

WingWise delivered a minimal, clean, and functional application that built trust with crews and managers.

  • For Pilots & Crew: Transparent rest tracking, fatigue alerts, intuitive schedules

  • For Managers: Real-time dashboard, AI recommendations, compliance monitoring

Impact & Key Learnings:

  • Deep domain research builds credibility and empathy

  • Micro-interactions (hover states, empty states, snack bars) strengthen user trust

  • A scalable design system future-proofs global products

  • Testing with real pilots ensures operational + safety alignment

As lead designer, I realized that a designer is the driver, and users are the passengers — our responsibility is to guide them smoothly and safely to their destination.
